SITUATION:
The Town of Fairfield, CT printed and mailed various tax bills throughout the year for motor vehicle, real estate and personal property, as well as supplemental motor vehicle, late notices, and final demand documents.
Other print and mail applications included dog license notices and a recycling information letter.
WHAT WE PROVIDED:
By town charter, Fairfield issued a request for proposals to outsource this function. Hygrade was awarded the contract. The Town of Fairfield utilizes CSV Files. Hygrade programmed their data files to match their existing forms. Hygrade then produced pre-printed forms and envelopes, and stores them for use as needed. The town posts their files on our secure FTP server. Hygrade then provides a PDF proof showing the position of the data on the pre-printed form. Once approved, the forms are laser imaged, folded and inserted along with an additional insert into a window envelope. The envelopes are mailed within 24-48 hours of receipt of the files.
RESULTS:
The process of the collection of taxes is vital to any municipality. It is the primary source of revenue, and timeliness and accuracy are critical. Hygrade not only provided a competitive price which secured the business, but more importantly, we were able to offer guaranteed performance. All bills are 100% accurate and are mailed with strict adherence to the client’s timetable.
