SITUATION:
WSHU is a public radio station operating
out of Sacred Heart University in
Fairfield CT. They rely on both direct mail and on-air broadcasts for fundraising.
WSHU had been handling their direct mail operations internally utilizing radio station staff. The direct mail program consisted of various appeal letters directed to a database of current and past donors. The letters were mailed on a pre-determined schedule. Hygrade recommended they consider outsourcing this function to streamline efficiency.


WHAT WE PROVIDED:

Through our ez.processing platform, Hygrade successfully took over the print and mail efforts for the station. Hygrade produces pre-printed forms and envelopes and stores them for use as needed. WSHU posts their data file an average of twice per week on our secure FTP server. Hygrade then provides a PDF proof showing the position of the data on the pre-printed form. Once approved, the forms are laser imaged, folded and inserted along with an additional buck slip into a window envelope. The envelopes are mailed within 24-48 hours of receipt of the files.

RESULTS:
WSHU's process for handling their direct mail was cumbersome and inefficient. It involved ordering and storing materials, and tied up valuable personnel to load, print, fold, insert and deliver envelopes to the post office. By utilizing Hygrade’s facilities to handle that process, it not only saved WSHU time, but also allowed WSHU to realize cost savings in lower postage and administrative costs. That enabled them to concentrate on their core business.
